Webinar Registration Privacy Notice

This privacy notice explains how D.A. Carlin & Company (“we”, “us”, “our”, or “DAC”) collects and uses your personal data when you register for one of our webinars. We are committed to protecting your privacy and handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are

2. The information we collect
When you register for a webinar, we collect the information you provide on the registration form. This typically includes:
- Your name
- Your work email address
- Your job title or role
- Your organisation or company name
- Any questions or comments you choose to submit when registering
We may also collect technical information relating to your attendance, such as whether you joined the live session, and any questions you ask during the webinar. If the session is recorded, your name and any audio or video you share may be captured. We will tell you in advance if a session is being recorded.
3. How we use your information and our lawful basis
We use your personal data for the following purposes, relying on the lawful bases set out below.
Delivering the webinar you registered for
We use your details to register you, send you joining instructions and reminders, host the session, and follow up with materials such as slides or a recording. Our lawful basis for this is the performance of a contract with you, or the steps you have asked us to take before entering into one.
Sending you related marketing communications
Where you have given your consent, we may contact you with information about our services, future events, insights, and other content we think will be relevant to you. Our lawful basis for this is your consent, which you can withdraw at any time.
Improving our events and understanding our audience
We may analyse registration and attendance data to understand who is interested in our events and to improve future sessions. Our lawful basis for this is our legitimate interests in running and developing our business, balanced against your rights and interests.
4. Marketing and your choices
Registering for a webinar does not automatically sign you up to our marketing. We will only send you marketing communications where you have actively opted in, for example by ticking a consent box on the registration form. You can withdraw your consent or unsubscribe at any time by using the unsubscribe link in any marketing email, or by contacting us using the details in section 1. Withdrawing consent does not affect the lawfulness of any processing carried out before you withdrew it, and it will not affect our delivery of any webinar you have already registered for.
5. Who we share your information with
We do not sell your personal data. We share it only with trusted third parties who help us run our events and manage our relationships with attendees, and only to the extent necessary.
These include:
- Our customer relationship management (CRM) provider, which stores and manages registrant and contact records
- Our webinar and email platform providers, which host the sessions and deliver communications on our behalf
These providers act as our data processors and may only use your data on our instructions. Some of these providers may process data outside the UK. Where they do, we take steps to ensure your data is protected by appropriate safeguards, such as standard contractual clauses or an equivalent approved transfer mechanism.
6. How long we keep your information
We keep your registration data for as long as needed to deliver the webinar and for a reasonable period afterwards to follow up and to keep a record of the event. Where you have consented to marketing, we keep your contact details until you withdraw your consent or ask us to remove you, subject to periodic review.
Registration and attendance records are retained for 24 months after the event, after which they are deleted or anonymised. Where you have opted in to marketing, we retain your contact details until you withdraw consent or ask us to remove you, and we review marketing contacts at least every 24 months.
7. Your rights
Under data protection law, you have a number of rights in relation to your personal data. These include the right to:
- Be informed about how we use your data
- Request access to the personal data we hold about you
- Request that we correct any inaccurate or incomplete data
- Request that we erase your data in certain circumstances
- Object to or restrict our processing of your data in certain circumstances
- Withdraw your consent at any time where we rely on consent
- Request the transfer of your data in certain circumstances

If you have concerns about how we handle your personal data, we would ask you to contact us first so we can try to resolve them. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection, at ico.org.uk.
9. Changes to this notice
We may update this notice from time to time. Any changes will be posted here with an updated revision date.
